Workforce Planning Resource Co ordinator

Job Description
Working in a complex matrix organisation, the Workforce Planning Resource Coordinator will support the Resourcing Manager with Workload Forecasting and Resource Management. The Workforce Planning Resource Coordinator will work with project managers and account leads across the business to collate a centralised view of current and future demand for staffing. The  Coordinator will also track the utilisation of staff, analysing forecast vs actual utilisation and investigating discrepancies, and support the assignment of staff to programme and bid pursuit activities in accordance with demand. In addition, they will also support the generation of a recruitment plan to address gaps in demand.

How you will make a difference

The main tasks and responsibilities of this job are as follows: 

  • Track all Permanent, Contractor and Subject Matter Expert (SME) Partner staff who are aligned to the National Security Solutions (NSS) organisation. 
  •  Support the provision of the Resourcing tool which acts as ‘One version of the truth’ to the Senior Leadership Team, including production of slides or data to support planned project and resourcing meetings, as well as ad hoc reporting requests.
  • Analysis and manipulation of data using excel to produce regular reports for management
  • Support Projects and Account leads to maintain the Resourcing tool to ensure alignment and provision of demand for their projects 
  • Provide general maintenance and policing of the Resourcing tool to ensure all demand is current and up-to-date. 
  • Work with project and account leads to understand and track the demand for each project to allow the best utilisation of staff resources. 
  • Track new joiners who are on-boarding, clearance status and leavers to ensure that there is an accurate view of available staff at any time. 
  • Support the finance team in ensuring that all permanent staff complete an annual grading assessment. 
  • Support the Business Development team to plan resources for new opportunities which NG are bidding on. 
  • Maintain and keep  the internal CV library up-to-date to support Business Development in resourcing new pieces of work 
  • Act on behalf of programmes as a point of contact into the external recruitment team to bring in permanent recruits and contractors into NSS 
  • Work with programme and functional stakeholders and the recruitment team to ensure that approved project demand is being actively recruited against. 
  •  Record Partner/SME assignments against projects so as to be able to provide a total view of resources engaged and future demand for these resources. 
  • Work with Supply Chain and finance to bring partners on-board and initiate their IT set up. 
  • Support Supply chain in regular (monthly) reviews with key SME’s to discuss current and future resource requirements. 
  •  Work with the Security team to understand when candidates are becoming cleared and can be planned to move onto their assigned call off.  Liaison with call off leads and Security in terms of sponsorship for new clearance requests for partner resources. 
  • Work with HR Business Partner to understand the current status  of joiners and leavers (numbers, timescales and any issues) across Permanent, Contractors and Partner staff, in order to adjust the workload forecast accordingly and determine any impact on task allocation. 
  • Undertake any other reasonable task as requested. 
We are looking for somebody with the following experience
  • Experience in a similar role
  • Knowledge of workload forecasting for resourcing
  • Must be proficient using Excel.
  • Strong problem-solving, organizational and analytical skills
  • Strong interpersonal skills and the ability to build and manage relationships effectively in a matrixed environment
  • Ability to coordinate activities across multiple projects to meet process-driven deadline
  • Ability to manage time and workload effectively which includes planning, organising, and prioritising with attention to details. 
  • You need to be a strong and confident person, with experience in challenging.
