Facilities & EHS Officer

Job Description

Do you have experience of working within a Facilities and Health & Safety Environment? Are you NEBOSH (or equivalent) Certified? Do you have excellent communication skills having worked with both internal and external customers/suppliers?

This role is a Facilities & EHS SME responsible for providing first line support and management of all facilities at the Cheltenham location and environment, health and safety matters within the Cheltenham location and all other identified NGUK sites.

Key Responsibilities


  • Maintain the Building Manuals across all sites and raise any associated concerns identified
  • Manage the suppliers database across all NSS sites, ensuring Permits to Work and associated evidence are collated in accordance with requirements
  • Supervise the performance of contractors, ensuring the provision of a safe working environment for both staff and contractors and compliance with statutory and regulatory requirements
  • Carry out and evidence the Cheltenham monthly premises safety and maintenance audits as set down in the Northrop Grumman (NSS) Work Place Inspections protocol, and close or report and follow-up on all findings
  • Log reported maintenance issues and arrange repair in a timely fashion (Cheltenham sites)
  • Liaise with security to arrange required clearance and escort for maintenance staff/contractors; escort contractors as and where required
  • Raise purchase requisitions for items within the Facilities function's areas of responsibility
  • Responsible for office planning and co-ordination for existing staff moves and new starters, facility moves, refurbishments and renovations
  • Log utilities meter readings (electric, water and gas)
  • Work with the Finance team to manage facilities cost budgets
  • Manage and co-ordinate the Cheltenham offices' open and lock-up process
  • Out of Hours CCTV monitoring in the event of alarm activation and primary POC for alarm system maintenance

Health & Safety

  • Collate 'Work Place' inspection logs for all NSS sites, producing and submitting summary reports
  • Liaise with the building service provider to carry out annual fire drills at each Cheltenham facility and record the evidence
  • Escort managing agents' suppliers when conducting building maintenance and HSE checks
  • Maintain First Aider Registers (all sites) and arrange refresher training for First Aiders as and when applicable
  • Check first aid boxes and replenish when needed at the Cheltenham sites
  • Refresh and update Fire Warden/Evacuation/First Aider posters at each Cheltenham Facility
  • Maintain the Fire Drill register for Cheltenham sites
  • Carry-out Risk Assessments and guidance as and when required, maintaining the Risk Register for all sites
  • Provide guidance to Managers and Team Leaders on Health & Safety
  • Assist with Asset and H&S documentation audits
  • Manage H&S meetings and any associated actions at NSS sites, escalating to the Facilities & EHS Lead as required
  • Administer the EHS e-Learning tool and maintain the H&S Training Records


  • Carry out a range of Facilities & EHS project activities
  • Act as delegate and deputise for the Facilities & EHS Lead, as required
  • Escalate issues to the Facilities & EHS Lead in a timely manner to ensure safety and compliance is never compromised
  • Undertake any other reasonable tasks as requested

General Operational duties

  • Attend EMEA Operations department meetings as required
  • Remain compliant with all applicable legislative and ES Processes and procedures

Person Specification

Essential Qualifications/Experience

  • NEBOSH General Certificate or other Health and Safety qualification
  • Solid experience of working in a Facilities and/or Health & Safety role
  • Experience of working with internal customers (employees) and external providers (suppliers)
  • Experienced negotiator

Other requirements

  • Travel requirements: Frequent UK travel between NGUKL sites to attend meetings/training activities and undertake project activities. The role will be based 2 days in Cheltenham with the remaining 3 across our other locations.
  • Valid UK driving licence
  • Clearance requirements: The post-holder must be able to hold and maintain UK Government clearances
  • Working hours: Out of hours / weekend working may be required occasionally to facilitate building maintenance and other activities
