Job Description
This position is a front of house based, administrative role where you will be the face of the company when meeting and greeting clients, visitors, and dealing with switchboard queries.

As part of this role, you will support our EA Team Lead and Office Administrator in ensuring that the office equipment is maintained, relevant records are up to date and that all administration processes work effectively with regards to reception/front of house activities.

How you will make a difference

The main tasks and responsibilities of this job are as follows:

o  Receptionduties

o  Management of visitors –

§ Greeting visitors, offering them refreshments and directing them to the right person

§ Security screening of guests and visitors toClareville House, providing on-site badging and monitoring visitor’s movements

§ Ad hoc support to visiting staff eg. bookingtaxis

§ Running of meeting room calendars and office/hotdesk availability

§ Ordering food for meetings and clearing meetingrooms after use

§ Liaise with ground floor security forinformation on visitors

    • Ensure knowledge of staff movements in and out of the organisation

o  Answering switchboard, screening phone calls andtaking messages

o  Ownership of phone lists, update and circulate

o  Deal with queries from the public and customerswhere appropriate

o  Departmentalising all post incoming and frankingall outgoing

o  Arrange and manage all Couriers both incomingand outgoing

o  Assist with photocopying, faxing, binding andgeneral admin duties as required

o  Orderingand Stocking

o  Ordering and producing purchase orders throughMS Dynamics for office supplies and equipment as directed by the Office Administratoror EA Team Lead

o  Stocking of all coffee machines and re-stockingof all office communal areas

o  Organising and restocking the stationerycupboard

o  Checking and loading main printers daily

o  Liaising with suppliers and contractors, asagreed with the Office Administrator

·        Officeduties

o  Liaising with Finance and Office Administratorand assisting them with collating and coding of all London office invoices

o  Maintaining the tidiness of the reception area

·        Environmental,Health and Safety

o  Co-ordination of waste collections &recycling

o  Support the Office Administrator with:

§ reviewing and updating health, safety andenvironmental documentation as required

§ assuring EHS health, safety and environmental policiesand procedures are adhered to by visitors

·        AdministrativeSupport

Providesupport to the EA team and the Office Administrator.

PersonSpecification:

·       Excellent written and interpersonalcommunication skills

  • Strong computer literacy, including Microsoft Office using a range of office software, including email, spreadsheets and databases

·       Professional personalpresentation

·       Ability to stay calmunder pressure

·       Attention to detail

·       Good organisation skills

·       Be discreet and tactful

·       Courteous but firm whendealing with difficult customers

·       Efficient, wellorganised and  a self-starting attitude

·       Self-motivated and ableto be innovative and think outside the box

·       Ability to interacteffectively with executive level clients

·       Microsoft Dynamicsexperience desirable
